Booking conditions and rules.
PROVISIONAL CONFIRMATION OF
AVAILABILITY & RATES
A reservation request must be sent by email to the booking service of VIlla Orca Samui or through the reservation request form of the website www.villaorcasamui.com.
Bookings are on a ‘first come, first-served’ basis and are for a minimum of 2 nights, except the following seasons:
3 (Three) nights in High Season
2 (Two) nights in Low Seasons,
5 (Five) nights during Chinese New Year,
5 (Five) nights during Easter and,
7 (Seven) nights during New Year,
With the exception of certain periods and unless otherwise is specified in the Confirmation of availability.
Confirmation of availability
The confirmation of availability includes the rates for the requested period. The Confirmation of availability will be sent to the Guest by e-mail by the booking manager. After the Confirmation of availability and the rates are confirmed by the Guest, the Booking manager will send the Invoice.
Villa Orca Samui reserves the right to decline a booking without giving any reason.
Rates do not include: transport fees for grocery shopping, gratuities, fax and telegram charges, car rental, food (except the Thai or Continental Breakfast), soft drinks and/or liquor, personal items and expenses due to any other third parties, including, but not limited to laundry services, massage therapist, and any excessive cleaning required upon departure (such as upholstery or rug shampooing, etc.) or replacement of breakages. Fair wear and tear are accepted.
Booking Condition
The booking (reservation) will be confirmed when the payment is made, as follows:
Initial Deposit
An initial deposit of 50% of the Villa rental must be paid to pre-confirm a booking unless otherwise specified in the Confirmation of availability and the Invoice.
Before the booking is pre-confirmed, Villa Orca Samui reserves the right to increase or decrease the agreed rates.
If funds are not received within 5 (five) banking days the reservation shall be deemed to have been cancelled and Villa Orca Samui reserves the right to allocate the Villa to another Guest.
When funds are received, the Booking manager will send to the Guest a Deposit recipe and Booking pre-confirmation.
Full rental payment
The full payment of the Villa rental must be paid 30 (thirty) days before the check-in unless otherwise specified in the Invoice.
The booking confirmation will be forwarded to the Guest by e-mail from the Booking manager.
The booking confirmation includes:
-Guest name, contacts as address, telephone, and e-mail
-The name of the villa
-The number of bedrooms
-The number of guests (adults and kids)
-Number of supplementary beds if applicable
-Check-in and Check-out time
-Early check-in or Check-out if applicable
-The booked dates and the Rates
-The amount in Thai Baht received by the villa
Please, inform us as soon as possible, if you wish to change anything after the Booking confirmation is sent. See below the conditions of any changes in a Confirmed booking.
CANCELLATION AND AMENDMENTS OF A BOOKING
CANCELLATION AND AMENDMENTS TO BOOKING FROM THE GUEST
If it becomes necessary to cancel all or any part of the booking, Villa OrcaSamui must be notified in writing (email acceptable, ron@villaorcasamui.com) or email to the Booking Manager. The cancellation will take effect from the day the written confirmation is received. The Guest will receive an email, that Villa Orca Samui well received the changes/cancellation details.
The following cancellation charges will be applicable depending on when the notification of the cancellation is received in writing and the period of stay in the Villa:
Low and High season
30 days or more before arrival date:.
All Payments are forfeited but credited for 9 months from the date of the cancellation confirmation by Villa Orca Samui reservations department. The credit can be used by the client or anyone on their behalf for any reservation, during any period and solely for the villa initially reserved subject to availability of the villa.
Within 30 days of arrival date:
All rental payments are forfeited.
New Year & Chinese New Year, Easter, Peak seasons
30 days or more before arrival date:
All payments are forfeited.
Within 30 days of arrival date:
All rental payments are forfeited.
Low and High season
30 days or more before arrival date:.

Only if Villa Orca Samui registers a new reservation partially or fully covering the initial and cancelled the reservation, Villa Orca Samui, at its absolute discretion, may proceed to a full or partial refund.
The above cancellation charges also apply if Villa Orca Samui cancels the booking due to non-payment of the balance.
If the dates of the booking require being amended, this may be treated as a cancellation of the original booking and cancellation charges may apply.
If the new requested dates are available and at the same rates, the customer will receive an e-mail confirmation of the date change and a new Availability confirmation or Villa Orca Samui, if the booking was already confirmed.
If the rates are different, the customer will receive a new invoice with the new rates, that must be paid for the next 5 (five) banking days.
Any change to the original reservation is subject to the approval of Villa Orca Samui.
Early departure will not be eligible for reimbursement.
No-show will be considered as a cancellation.
ALTERATIONS AND CANCELLATIONS BY VILLA ORCA SAMUI
Though it is unlikely that Villa Orca Samui will have to make any changes to a confirmed booking, in that case, Villa Orca Samui will advise you at the earliest possible date. If for any reason beyond our control, we are unable to provide you with the Villa booked, Villa Orca Samui shall reserve the right to cancel the reservation.
Examples include, but are not limited to situations such as if the property is damaged or rendered unusable, Villa Orca Samui will endeavour to locate an alternative property for the period required but no guarantee is given that this can be done. However, if this is not possible, or you should not wish to be transferred, Villa Orca Samui will cancel the booking and refund in full.
CHANGES TO A CONFIRMED BOOKING
CHANGE OF THE NUMBER OF GUESTS
If it becomes necessary to change the number of guests in the booking, Villa Orca Samui must be notified in writing (email acceptable, ron@villaorcasamui.com) or email to Booking Manager.
The number of guests must no exceed the villa standards:
Full Villa
Included in the rates - 10 guests
Up to - 13 guests
For any supplementary guests will be applying the following rates: 50 Euro+ by night and by each guest.
CHANGE OF THE NUMBER OF BEDROOMS
If it becomes necessary to change the number of bedrooms in the booking, Villa Orca Samui must be notified in writing (email acceptable, ron@villaorcasamui.com).
If you wish to reduce the number of bedrooms in a booking, it could be made 30 days or more before arrival date, before the full payment is made. This may be treated as a cancellation of the original booking and cancellation charges may apply (see the cancellation of bookings).
If you choose to add a bedroom, please inform us about.
In the case of any changes in the total amount due to new changes, you will receive a new invoice that must be paid on the next 5 bank days.
CHANGE OF THE CHECK-IN OR CHECK-OUT TIME
If it becomes necessary to check-in or check-out time of the booking,Villa Orca Samui must be notified in writing (email acceptable, ron@villaorcasamui.com). Early check-in and Late check-out are possible only if there are no confirmed bookings before or after.
The Early check-in and Late check-out are charged as the following:
Check In
Standard Check-in time: 2 pm or after
included in the rate (no supplementary fee)
Check-in before 12am
½ first night rate (Supplementary fee)
Check-in before 7 am
1 first night rate (Supplementary fee)
Check Out
Standard Check-out time: 11 am or before
included in the rate (no supplementary fee)
Check-out after 1pm
½ last night rate (Supplementary fee)
Check-out after 6pm
1 last night rate (Supplementary fee)
